02What we collect
We only collect what we need to answer you and to do the work you ask us to do.
- Details you give us: your name, business name, phone number, email address and whatever you write in an enquiry.
- Call information: if you phone us, the number you called from, the time and length of the call and, where we tell you so at the start of the call, a recording and transcript.
- Website information: pages visited, the type of device and browser used, and an approximate location based on IP address.
- Client information: if you become a client, the billing and account details we need to provide the service.
We do not knowingly collect special personal information, such as health, religious or biometric information, or information about children. Please do not send it to us.
03Why we use it
- To reply to your enquiry and prepare a plan or quote.
- To provide, bill for and support the services you have asked for.
- To improve our website and understand which pages are useful.
- To meet legal and tax obligations.
- To send you marketing, but only if you have agreed to it or are an existing client, and always with an easy way to opt out.
We rely on your consent, on the steps needed to conclude or carry out a contract with you, on our legal obligations, and on our legitimate interest in running and improving the business.
04Information we handle for clients
When we build websites, run campaigns, set up phone systems or run an AI receptionist for a client, we process personal information about that client's customers on the client's behalf. In those cases the client is the responsible party and we act as their operator, under a written agreement and only on their instructions.
If you gave your details to one of our clients and want to know how they are used, please contact that business directly. We will help them respond.
06How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires. Enquiries that do not become work are deleted or made anonymous after a reasonable period. Client and billing records are kept for the periods required by tax and company law.
07How we protect it
We use access controls, encryption in transit, reputable service providers and sensible internal practices to protect personal information against loss, damage and unauthorised access.
If a security compromise affects your personal information, we will tell you and the Information Regulator as soon as reasonably possible, as POPIA requires.
09Your rights
Under POPIA you have the right to:
- Ask whether we hold personal information about you, and ask for a copy of it.
- Ask us to correct or delete information that is inaccurate, out of date, excessive or unlawfully obtained.
- Object to our processing of your information on reasonable grounds.
- Withdraw consent you have given, and opt out of marketing at any time.
- Lodge a complaint with the Information Regulator.
